How to create proposals for your projects using AI

Closing a project doesn’t start with a signed contract. It starts much earlier — when you are able to transform an idea, a requirement, or a technical definition into a clear, professional proposal that reflects the real value of your work. This is precisely the stage where many tools fall short.

At Your Project Manager (YPM), we continue evolving to support the full project lifecycle. That’s why we’ve introduced a key new feature: Proposal creation and management, designed to seamlessly connect project planning with the commercial process.

A new section to close the loop: Proposals in YPM

Until now, YPM allowed you to define projects, scopes, and budgets using artificial intelligence. With the new Proposals section, we go one step further — supporting you all the way to the moment you send a formal offer to your client.

From the side menu, you can access the new Proposals section, where you can:

  • Create new proposals

  • Edit existing proposals

  • Duplicate proposals for new clients

  • Delete proposals you no longer need

  • Download ready-to-send proposal documents

All from within your project management environment.

How to create a proposal step by step in YPM

1. Create a new proposal

When you enter the Proposals section, you’ll see a “Create proposal” button in the upper-right corner. Clicking it opens a simple, intuitive form where you can start building your offer.

2. Complete the main proposal details

In this form, you’ll define:

  • Proposal name
    Example: Web platform development and maintenance proposal

  • Client name
    Example: YPM Corp.

  • Project and definition (optional)
    You can link the proposal to an existing project in YPM.

Linking a project is especially powerful, as it allows you to automatically import budget data from the project definition.

Budgets connected to your project

If you select an existing project, the Budget Data section will be automatically filled with the information defined in the project’s budgeting area.

From there, you can:

  • Modify any imported values

  • Adjust specific cost items

  • Apply a discount percentage to the initial proposal price

This flexibility allows you to adapt each proposal to commercial negotiations without losing consistency with your original project planning.

Customize your document: proposal sections

A strong proposal is more than just numbers — it’s about structure, clarity, and storytelling. That’s why YPM allows you to fully customize the sections of your proposal document.

From the content section, you can:

  • Add as many sections as needed

  • Define a section title for each one

  • Include custom content for every section

Common examples include:

  • Project scope

  • Working methodology

  • Deliverables

  • Timelines

  • Commercial terms

Each proposal can be tailored to the client, industry, or service you’re offering.

Complete proposal management in one place

Once your proposal is created, you’ll be redirected to the main proposal list. From there, you can:

  • Download the proposal document ready to send

  • Edit any proposal details

  • Delete outdated proposals

  • Duplicate a proposal to reuse it as a template

This feature is especially valuable for consultants, agencies, product managers, and technology companies that work with recurring proposals.
